Over the next few days we will be rolling out some new features across all subscription levels. We will be starting with the Owner Drivers today and then adding new subscription levels over the next few days.

New Look Diary

 

What’s New?

We have redesigned the look and feel of the diary. Changing the shape and order of the existing buttons.

How Do I use it?

Aside from a slight change to the order of the existing buttons, you will use the diary as you always have. However, we have changed the pound sign button to state more clearly, it’s purpose for creating/viewing the invoice.

Benefits

We feel this will make it easier for members to use on smaller mobile devices as well as complimenting the existing work flow.

Replay

 

What’s New?

Every tracked load in your diary is now fully reviewable via ‘Replay’.

How Do I use it?

By accessing the ‘Replay’ button in your Diary.

Benefits

Once opened ‘Replay’ will present you with a “Snail Trail” of all tracked loads. You can also export this information as a report, which can be printed for your records or emailed to your customer. It shows all tracking points on the left-hand side of the screen, with ‘Booking Status Updates’ highlighted.

All subscriptions once fully released.

My Day

 

What’s New?

Owner Drivers can review everywhere that they tracked for one day or across a selected date range.

How Do I use it?

Located on the Diary on the left-hand side of the screen is the new ‘My Day’ button. Click this button and then choose the date range you would like to review. Keep in mind the longer the date range, the fewer the tracking points presented. The shorter the date range, the more detailed report. This keeps the report from being too large. For example, a 2-day report will show tracking point every 2 mins. Whereas, a 30-day report will show a tracking point every 90 mins.

Benefits

All your movements are now available for your review. You can also show your customer how efficiently you handled their work. You can use ‘My Day’ as way to increase your own efficiency or to impress your client with our professional looking reports.

The following new features all relate to each other so we thought it would be a good idea to release them all at once, rather than stagger them out. They should all be available today.

Accept / Decline Booking

 

What’s New?

When posting a load or entering a direct booking you can now request that the other member confirm that they have read and understood the details before allocating. This is accomplished with our new Accept/Decline feature.

How Do I use it?

Two new buttons have been added to the booking in the Diary section of the desktop platform. Simply click the green “Accept” or the red “Decline” button. If you click accept a popup will appear asking that the member confirm that they will undertake the booking with the details AS THEY APPEAR, if the booking is declined you will just be asked to confirm this by clicking yes or no.

Benefits

When a member does accept the booking this is date and timestamped (recorded in our new history feature – details below). This will act as a binding confirmation that they have read and understand all the details and will protect all parties involved. The hope is that this increases clarity of communication across the supply chain and reduces misunderstandings.

 

Which Subscriptions have access to this feature?

All subscription levels. This feature will also be available in our forthcoming release of version 3.1 of the mobile app in the “Bookings” section.

 

 

Manual Status Updates

 

What’s New?

You are now able to manually update the status of a booking from within the diary.

 

How Do I use it?

Once a booking has been accepted a green dropdown menu will appear. This menu has the same status updates available through the mobile app (On Site (Pickup), Loaded, On Site (Delivery), and Delivered/POD). Simply click the relevant status, set the time, and add any notes or relevant information.

Benefits

If a driver is in the field and unable to obtain a signal or is not reachable for any reason dispatch can now update the details of the job as they happen so information continues to flow.

Edit Booking / Booking History

 

What’s New?

You can now edit the details of a booking without having to cancel and repost. All changes will be recorded and timestamped in our new booking history feature.

How Do I use it?

Two new buttons have been added to the diary. Click the new edit button and the details of the booking are presented exactly as they were at entry. Make the required changes and click “Send Confirmation” when you are finished. A new confirmation will be emailed out clearly marked “Edited Booking” and will list the changes that have been made. At the same time, all the changes will also be logged in the new “Booking History” feature, available through the “History” button on the diary.

Benefits

You no longer have to cancel and repost a load just to make a simple change. All changes are recorded in the “Booking History”. This will show the date and time of the change as well as who edited the load and provides security to both the person making the change and confidence to the person affected by it.

Pro-Alerts – Set Default Preferences

 

What’s New?

We have added the ability to set default preferences for the frequency that your “Pro-Alert” en-route emails are sent.

How Do I use it?

These preferences can be changed by visiting the settings page and going to the users option.From the dropdown menu, next to the message “Send En-Route Alerts Every”, select the amount of time you prefer to elapse before an email goes showing the current location of the tracked driver.

Benefits

This makes using our advanced “Pro-Alerts” automated email system even easier. It allows you to “set and forget” your timing preferences.

We have added some new features to our mobile app today (available now for Android and Apple is shortly to follow). Here is a breif synopsis of what we have added:

Load Alerts – Sold

What’s New?

Loads that have been marked as sold or booked will be automatically removed from the load alert list when refreshed.  If you attempt to view the details of a load and it has been sold in that time, the load will indicate that it has been sold

How Do I use it?

Simply scroll through the load alerts as you have in the past.

Benefits

Reduces the frustration of calling on a job that has already been allocated to another member.

Load Alerts – Back to Top Arrow

What’s New?

We have added a ‘Back To Top’ arrow on the Load Alerts list

How Do I use it?

Tapping the arrow will return you to the top of list and refresh the list at the same time.  If a new load alert is received whilst you are browsing the list, the button will flash red.  Tap on it to go back to the top and see the new alert.  (Load Alerts setting must be ‘on’ for this to work)

Load Alerts – Estimated Time of Arrival

What’s New?

We have added the estimated time the journey will take to the alert summary and when viewing the load on the map, we have added the estimated time to the pickup location too.  These times are provided by Google and take into consideration current traffic conditions

How Do I use it?

When viewing a load alert in the mobile app, click on “View on Map” and the ETA will appear next to the distance. Tracking must be enabled.

Additional information prior to quoting on a job. Gives you more information, faster, and all in one space.

Load Alerts – Vehicle Size

What’s New?

We have added the vehicle size required to the preview of all load alerts

How Do I use it?

View the load alerts on the mobile app and the vehicle size is listed under the name of the posting company and next to Hotshot/Backload marker

Pickup to Delivery Mileage – Starting today, when posting a load, the booking will now show you the total distance from pickup to delivery. This can be found at the bottom of the delivery details. Please keep in mind that this is an estimate calculated by Google and may not reflect accurately the mileage of your chosen route.

Courier Exchange mobile app – NEW version released today

From today you can download the new and improved version of the Courier Exchange Mobile App and get the latest signature and image capture functionality.

With our latest release your mobile phone (Android or Apple) will become your new POD. Where before you would finish a booking by entering the recipient’s details yourself, now you simply hand them your phone, they sign the large landscape screen with their finger, and the signature is uploaded almost instantly to your diary and the diary of the member that gave you the booking.

Does your customer insist on using a paper POD?
No problem- the app now has an image capture feature which can supplement the physical POD, or replace it completely if your customer agrees. Simply snap a picture of the POD through the same screen where the signature capture feature is located and just like the signature, it is uploaded fast for later retrieval.

We all know that paper records can get lost, so why risk a payment delay when a solution is sitting in your hand?

The image capture feature not only allows you to record PODs quickly and securely but it can also cover you for cases when details of a delivery are incorrect. Wrong address? The parcel is too big? Just take a picture and your reputation is covered.

***IMPORTANT***

Please note that you must always obtain a physical paper POD unless you have been given express permission by the customer you are working for that they will accept an electronic POD.

Bulk Feedback

When you login, you will be presented with a list of all the members that you have worked with.  The list will indicate how many bookings for each member you have the option to leave feedback for.

Remember you can only leave one account of feedback, per member, every 30 days.  So if there is more than one booking for any given member, you will only be permitted to leave feedback for one of the bookings.  In 30 days’ time these bookings and any others that have occurred in the meantime will appear again for you to select which booking should receive feedback.

Click on a row to expand it and see the bookings you can leave feedback for.

If you want to leave positive feedback, all the answers for the 3 questions, will automatically be marked as positive by default.  You have the option to add comments if you wish.  If not, just select ‘positive’ and then move onto the next member.

Should you wish to leave neutral or negative feedback, the booking will expand to show you the usual feedback questions and answer options.

Should you choose a negative answer for any of the questions, then you will be asked if you would like to submit this feedback as a complaint – just as you do now.

When you have left feedback for all the members you wish to at this time, then you will be presented with a summary of the feedback you are about to leave, so that you can check before submitting it onto the Exchange.

Vehicle Activity Management

The Vehicle Activity Management section of the Exchange is undergoing development to improve the functionality and usability for those of you managing fleets on the Exchange; including vehicles belonging to your Preferred Carriers.  The first change is the name of this section – it is being renamed to ‘My Fleet’.  We are sure you will agree this rolls of the tongue a little easier and clearly describes the section you are entering.  We have also now given you the ability to update the availability status of your entire fleet in bulk.  These two elements are live now!

Throughout May the following updates will be introduced to the My Fleet feature:

Create groups of selected members you wish to display availability to on the fly.
Vehicles belonging to a specific member / preferred carrier will be grouped together for better visibility.
Search facility so that you can find a particular vehicle quickly.
Driver, Vehicle, Sub-contractor / Preferred Carrier Management (Add / Edit).

Preferred Carriers

You will soon be able to add both existing Exchange company level subscribers and external companies as a Preferred Carrier.
This will allow you to view, manage and utilise multiple vehicles belonging to a carrier all on one screen.  For example you use Preferred Carrier 1, who chooses to allow you visibility of some or all of their vehicles via a restricted version of the Exchange (if they are not full Exchange member). You have the option to view and use your extended fleet by having a clearer representation of these vehicles’ movements.  You will also be able to advertise the availability of these vehicles to specific groups if required, which will allow you to manage individual contracts that may have sensitive restrictions for example.
You will have multiple ways to take advantage of these new features to suit your demands.

Live ETA / In Progress

Using Google Live traffic data, we are able to display the predicted ETA for vehicles that are using the mobile app or who are using an integrated tracking provider.  This will be displayed alongside the ETA the driver has suggested (if entered).  This will all be visible both on a map and a table so that you have a  clear overview of all of your jobs that are in progress including your external preferred carriers if using one of the tracking methods.  This is a unique consolidated view of all your drivers and vehicles and makes management / re-loading much easier and more profitable.
This feature will be supported by a new mobile app named ‘Freight Vision’, which we plan to release in June.

Freight Messenger

Our very own Instant Messaging System to help improve communication between Exchange members.  This is more than just a messenger, there are several powerful tools that will add speed to your daily routines.

Mobile App

A new version of the Mobile App is currently being tested full of new development that will allow you to capture both the signature and photo evidence for the POD.
A new fresh look for the Mobile App will be available in a separate release in June.
Push notifications directly to your device for load notifications and confirmations.
Freight Messenger – Instant Messaging between Exchange members.

Return Journeys

What’s new?

You can now add an extra “via” location when adding a journey.

How do I use it?

When adding a journey, enter a location in the “via point 2” field for the second location you will be travelling via

In order to accommodate this, the form layout has been slightly changed so the “Regular Journey?” and “Go Anywhere?” tick boxes have been moved below the “via point 2” field

Benefits

Load matches will take your second via point into consideration and the second via point will be displayed to other members when they view a journey

It is a good way to force the system to pick a particular route when matching jobs

Charges

What’s new?

The fields for Waiting Time, Loading Time and Cancellation Charges have been derestricted. You can now enter charge information without it only being applicable per hour.

If you have already added charge information, you do not need to re-enter it as it has been applied to this new feature automatically.

How do I use it?

After you have clicked on Settings > Company Profile, enter the information in the relevant fields in the Charges section and click save.

Accounting

What’s new?

Add notes to invoices in the accounts payable section of the accounting system.

How do I use it?

When viewing invoices in the Accounts Payable, you can add a note to an individual or the same note for multiple invoices with one entry by checking the box(es) next to the invoice(es) under the notes column and then clicking the green plus icon to add your note.

If you would like to add the same note for all invoices, click select all in the notes column header and then click the green plus icon to add your note.

What’s new?

When marking an invoice as paid, the amount of the payment to be processed will automatically be pre-populated with the total value of the invoice.

In Settings > Company Profile, you can now control whether you want the Load Reminder feature to appear
when you post loads.

Charges
In Settings > Company Profile, you can now add your standard costs for; waiting time, loading time and cancellation. These charges are not automatically added to any booking, they are available to view in your directory entry > charges tab.

Expired Load
Once the collect by time of a load has been reached, the load will automatically be ‘marked as sold’ to try and keep the loads list as up-to-date as possible. These loads can be re-posted from your diary if required.

Mobile App update:

Mobile App update:

The Mobile App has been updated with a bug fix and is now available to download on Android and iPhone.

The fix solved the issue the App had updating job statuses following time spent in areas with bad or no network coverage.

If a booking status was submitted whilst the phone had no signal, the status was supposed to update when the device regained signal. This did not happen and the booking would as a result stay incomplete. 
 
This has now been fixed so that any updates to the booking are submitted to the booking once the device has signal again.

Please download the updated version of the App to benefit from the fix. You may find that the App has already been updated to the latest 2.2.1 version but if not then update it manually.

Feedback

What’s New?

When viewing the feedback tab in a member’s accreditation overlay, there is now a ‘Complaints’ tab which is displayed permanently regardless of whether a member has had any complaints upheld.  In addition, (in the top right) it will display in text ‘Complaints’ and the number of upheld complaints (in red text if any upheld, in grey if there are 0).  There is also a ‘Complaints Dismissed’ tab which is only displayed if the member has had any complaints dismissed.

How Do I use it?

Go to any member’s accreditation overlay

Booking Confirmations – Delivery Notes

What’s New?

A plain, blank delivery note is attached automatically to booking confirmations (received by email).  The delivery note can be printed off by the sub-contractor to use if required.  The delivery note has the following details automatically entered into it.  The shipper’s name and telephone number, the load ID and the driver ID.  All ID’s exclude any prefix that would identify the Exchange or membership to it.  You can adjust the company name that appears on the note, you can also specify a telephone number for drivers only (if you have one), you can also add footer text if required.

How Do I use it?

When you confirm a load to another member, driver or sub-contractor, the delivery note will be attached automatically to the email.  To manage the Shipper name, telephone numbers and the footer, go to Settings > Company Profile and edit details in the ‘Delivery Note Details’ block at the bottom of the middle column

Gives sub-contractor’s a blank delivery note to use for every booking

Invoicing

What’s New?

A new button labelled ‘Return to Diary’ now displays in the title bar of the accounting overlay.  When this is clicked (or the ‘X’ close button is clicked), the overlay will close and automatically refresh the diary so that it updates when invoices have been created (green £ icon will turn grey to indicate invoice has been raised).

How Do I use it?

Click on the button in the overlay when you have finished raising invoices

 How Do I use it?

Click on the re-post or re-book button on an entry in your diary.  Amend any  details as required in the form and click the new button at the bottom of the form to re-post or re-book the load / booking.  This will also cancel the original load / booking (effectively replacing it)

Benefits

The original load / booking may not be applicable any more, so rather than just adding a new load / booking, this will cancel the original and will help keep the diary tidy

What’s New?

‘Beta Interactive Map’ is selected as the default view when you go to the loads screen if it has been activated (We are doing a staggered rollout of this feature to ensure the servers can cope with the increased demands this features requires).  It will only be available to company level subscribers and will be fully deployed within the next 2 weeks.

In the Loads and Directory sections  of the iPhone Mobile Web version of the Exchange, we have added some empty space below the ‘Search’ button to make it easier to click –  it was a little hit and miss

If you have access to the Vehicle Activity Management screen – we have added some new availability reasons.  These include: Maybe Available (Available with constraints, co-loading, tramping, en-route).  If any of these reasons are selected, your vehicle will be displayed with an amber pin on the LAM.

We will soon be releasing these new reasons and amber pin to the mobile app.

Live matching rule change – We have tweaked the rules that match tracked drivers / vehicles and loads.  The system now looks at the whole collection window rather than the collect by time to ensure more accurate matches.

Home notifications / tracking – If you select ‘Send home notifications when tracked outside of home area’ in settings > notifications, you will receive both home and tracked load matches whilst in your home area if you have mobile tracking on.  This allows you to have your tracking on when at home and use the home area settings you have set up.  Home notifications will then stop when you are outside of your home area and matches will be based on tracking / current location only.  This is separate to return journey matching rules which remain the same.

References – The booking forms now allow you to select each reference independently when sending confirmation through to the sub-contractor

Diary – The ‘Track’ button will now only display on diary entries up to 150 minutes (2.5 hours) before collection and 60 minutes after the POD has been entered.

Loads – we have introduced a ‘Quick Search’ dropdown which will allow you to select and search major UK towns quickly

Loads – ‘Show loads posted within last…’ option added.  This allows you to display loads posted within the last: 5, 15, 30 mins, 1 hour, 4 hours and day.

***Remember*** you can click the ‘Save as default’ option just above the search button on the left hand side to save the search parameters you currently have on screen.  These options will be used every time you access the loads section.

Fixed Issues

Booking forms on tablets – We have resolved the issue with booking forms and scrolling when viewing the Exchange on tablets.

Many other small fixes that are not necessarily visible, but essential to keep the Exchange performing.

  • Allocating received booking – (available later today)  when a booking is received you can now allocate the booking to a vehicle which will allow the ‘My Booking’ feature on the mobile app to be used. You will be able to allocate to a company driver or regular sub-contractor with extended diary entry within the next few weeks

  • Added option to stop home location notifications – there is a check box in notifications which does the opposite of the home area. Rather than match loads within it, it will specifically not match loads with the defined area
  • Load registration forms and booking forms now open in a pop up
  • Save as default check box in loads and diary screens  – date issue has now been fixed, so if you save today as your default, this will be your default search every time you go to that section

We are pleased to announce the iOS7 sleep issue for iPhones has now been fixed.

There is however one drawback.  If you have an iPad 1, it will no longer work.  This is due to the massive changes in Operating System from 5.1.1 (the highest level you can install on an iPad 1) and iOS7.

The updated version is available in the app store now but should update automatically

What’s New in Version 1.5.1

Fix: iOS7 was forcing the app to sleep when no significant location changes were being recorded. App will now continue to send location updates at all times.
Fix: If location received is not recognised then location was plotted on the equator – the app will now wait for next valid location update
Fix: If a user tries to select a fleet vehicle already in use an error message is now displayed

New usability developments released

  • If you have posted a load(s) then an ‘Allocate’ button will appear in all LAM balloons when clicked.  This button is also available in the directory.  Clicking ‘Allocate’ will open an overlay with all ‘unsold’ loads that you have posted.  You will then be able to book/allocate any of your loads to the member you have clicked the button on?  This will make booking loads much quicker for those that use the LAM and directory to find sub-contractors.
  • There is also a ‘Book’ button which will allow the user to make a ‘DIRECT’ booking to that member.  This has been available for a few weeks now
  • When you click on ‘View Order’ in your diary, it will now open up the order confirmation in an overlay for better usability

Draw Your Home Notification Area

To ensure you are getting relevant notifications and not hundreds of useless alerts, you can now specify your home notification area much more accurately using our ‘Draw Your Home Notification Area’ tool. To activate, please go to Settings>Notifications.  Click on the ‘Select Region’ option and create your unique ‘home notification catchment area’. You will find instructions on the screen.
Mobile Web

Many of you work away from a desk and as a result, using the Exchange on a mobile device. You will be automatically directed to this version according to your screen size/resolution. You will have the option to view the desktop version if required by clicking ‘Full Site’ at the bottom of the login page. If you use a tablet you will not have access to this version.

Booking Footer

You can now set a footer note that will appear on every booking confirmation automatically. Go to your Settings>Company Profile

In the Diary we have added a new button labelled ‘Payment Report’. This will export all booking information into a CSV file. We will soon be releasing a PDF version of this report which will group all bookings for each sub-contractor you have used for easier invoice reconciliation.

Answer: In order to register journeys you need to associate a vehicle so that you and other members can accurately identify the vehicle on the journey. You need at least one vehicle set up in your account in order to set the upper size limit and receive notifications for jobs.

Q. How can we register more company vehicles?

Answer: Log into your Exchange account and click on the ‘Drivers & Vehicles’ button located in the top right corner of your screen. Click on the ‘Company Vehicles’ tab on the left and then click ‘Add Vehicle’.
